Running a business with a real off season

A seasonal business does not have a steady flow of enquiries. It has a wall of them for a few months, and then almost nothing.

The staffing maths never works for this. Hiring for the peak means paying through the quiet months. Staffing for the quiet months means the peak is handled badly, which is exactly the period the whole year depends on. Most places settle for the second and lose bookings when it hurts most.

A system does not have that shape. It costs the same in February as in August, and in August it absorbs a volume no single person could keep up with: every enquiry answered at the time, in the language it came in, with a real answer about availability.

The quiet months are not wasted either, provided the system is doing the right work in them. Reminders and review requests carry on for the customers you do have, and the enquiries that come in about next season get answered rather than sitting in an inbox nobody is watching in January.

The one thing worth planning is the changeover. Rates change between seasons, so do hours and minimum stays, and the system answers from whatever it was last told. Updating that before the season starts is a short job. Forgetting it means quoting last summer all through this one.
